Terms & Conditions
These Terms & Conditions (“Terms”) govern all reservations and stays at The Alexander Estate, including bookings at The Alexander Manor House and Vineyard Villa. They comply with the Consumer Protection Act, 68 of 2008 (CPA), Electronic Communications & Transactions Act, 25 of 2002 (ECTA), and the Protection of Personal Information Act, 4 of 2013 (POPIA). By confirming a booking, you acknowledge that you have read, understood, and agree to these Terms.
1. Definitions
“Guest” means the person making the booking, including all members of the traveling party and their agents.
“Services” means accommodation, meals, transfers, experiences, and ancillary services provided by The Alexander Estate.
“Estate” refers to both The Alexander Manor House and Vineyard Villa, operated by Cape Point Accommodation (Pty) Ltd.
“Peak Season” refers to stays between 01 January–28 February and 15 December–31 December.
2. Reservations & Payments
2.1 Reservation Process
All bookings must be submitted in writing via reservations@thealexanderestate.com. Provisional bookings are valid for 7 calendar days.
2.2 Deposits
A 20% non-refundable deposit is required to confirm the booking within 7 days of invoice.
2.3 Balance of Payment
The remaining 80% is due no later than 60 days prior to arrival. For bookings made within 60 days, full payment is required immediately.
2.4 Extras
On-site payments for additional services (e.g., spa, bar, transport) may be settled with Visa or Mastercard.
2.5 Non-Payment
Failure to pay within the required timeframes may result in automatic cancellation of your reservation.
3. Cancellation Policy
All cancellations must be received in writing. The following cancellation fees apply:
- More than 60 days before arrival: 20%
- 31–60 days before arrival: 50%
- 30 days or fewer: 100%
- No-shows and Peak Season cancellations are charged in full
Refunds (if applicable) will be processed within 10 business days, less any transaction fees and exchange differences.
4. Check-In / Check-Out
- Check-in: From 14h00
- Check-out: By 11h00
Early arrivals and late departures may use the spa shower and relaxation facilities. Suites are not guaranteed before 14h00.
5. Child Policy
The Alexander Estate is an adults-only property. No guests under the age of 16 years are permitted. All guests aged 16 and over are charged at full rate.
6. Rates & Inclusions
All rates:
- Are quoted in South African Rands (ZAR)
- Include 15% VAT and the required tourism levy
- Are subject to change without prior notice unless confirmed with a deposit
6.1 Included in your stay:
- Daily breakfast in the Limelight Lounge or in-suite
- Daily sunset cocktails, gin trolley & canapés at 17h00
- One wine pairing with oysters per guest per stay
- One mini high tea per guest per stay (24-hour notice)
- Shared transfers to/from airport (for stays of 3 nights or more)
- Daily shuttle to and from the V&A Waterfront
- Complimentary minibar with local delicacies
- High-speed Wi-Fi across the estate
- Use of spa, pool, gym, laundry, and 24-hour guest pantry
6.2 Excluded:
- Lunch and dinner
- Spa treatments and purchases
- Premium bar beverages
- Private airport transfers (or for stays <3 nights)
- Tours, excursions, and curated experiences
- Travel insurance, gratuities, dry cleaning
7. Transfers
- Shared airport transfers (min. 2 pax) are available at R900 per person.
- Private transfers and excursions are available on request.
- Transfers outside standard hours must be pre-arranged and may incur a surcharge.
8. Liability & Insurance
- Guests stay at their own risk.
- The Alexander Estate is not responsible for loss, damage, theft, delay, injury, illness, or cancellation due to circumstances beyond our control (force majeure).
- Travel insurance is strongly recommended to cover unexpected events, cancellations, and medical needs.
- Guests must complete an indemnity form upon check-in.
- Guests are expected to follow all estate guidelines and safety instructions. Failure to comply may result in eviction without refund.
9. Data Protection & Privacy
We respect and protect your personal data in accordance with POPIA. Information is used solely for processing bookings and delivering services. It will not be shared with third parties except as required by law. Please refer to our Privacy Policy.
10. Dispute Resolution
- Any complaints must be raised directly with estate management during your stay to allow opportunity for resolution.
- Unresolved matters may be referred to the Consumer Goods & Services Ombud (CGSO) or the courts of the Republic of South Africa, which shall have exclusive jurisdiction.
11. Governing Law & Variation
- These Terms are governed by South African law.
- No amendments to these Terms shall be valid unless made in writing and signed by both parties.
- If any provision is deemed unenforceable, the remainder shall remain valid and enforceable.
